Patient Assist is a Chrome extension for authorized dental-practice operators who use NextivaONE and tab32 (the “Service”). This Privacy Policy describes how Patient Assist handles information when an authorized operator uses the extension.
Who this policy covers
Patient Assist is made available by Visio Dental Management, LLC (“we,” “us,” or “our”) for use by operators authorized by their organization. It is not intended for use by the general public.
Information we handle
Patient Assist handles only information needed to provide its dental-practice workflow functions:

Operator account information: Google account
identifier, verified email address, name, and profile-picture URL
obtained through the
openid,email, andprofilepermissions. We store these fields to sign the operator in, display their account, and verify authorization. They are covered by the use, sharing, security, retention, and deletion practices described below. - Search inputs and call context: a phone number, name, email address, practice organization, and supported Nextiva call-interface elements used to identify a patient. On supported NextivaONE pages, Patient Assist observes the scoped call interface for ringing and accepted-call changes. A broader active-page scan occurs only when the operator explicitly initiates it.
- Patient and practice information: matching patient, family, insurance, and appointment information retrieved from tab32 through its API and displayed to the authorized operator. Patient Assist does not maintain a separate repository of complete patient records or visit histories.
- Workflow information: a patient selection and appointment action the operator requests, such as creating, confirming, rescheduling, or cancelling an appointment, or beginning a new-patient inquiry. Patient Assist sends the request to tab32. The Service retains limited operation records needed to process requests reliably, prevent duplicate submissions, and support security and troubleshooting.
- Extension state: authentication preferences, active call context, selected patient information, and workflow state stored in the browser so the extension can function across page navigation and extension-worker restarts. This state can be cleared by the operator.
- Operational diagnostics: limited technical error information used to monitor reliability and security. Diagnostic reports are designed to exclude patient details, caller values, page URLs, authentication tokens, and raw upstream responses.
How we use information
We use this information solely to provide, maintain, secure, and support Patient Assist’s disclosed workflow functions: authenticating authorized operators; identifying a caller or patient; requesting permitted records from tab32; displaying permitted patient, family, insurance, and appointment details; submitting operator-requested appointment actions to tab32; supporting authorized organization selection; opening the related tab32 patient profile; preventing duplicate workflow submissions; and diagnosing operational failures.
How information is shared
Patient Assist sends the minimum information needed for the active operator workflow over secure connections to authorized systems and service providers needed to provide, secure, and support that workflow. These include Google for authentication, tab32 for patient and appointment operations, cloud infrastructure providers that host the Service, and a diagnostics provider that processes sanitized technical error reports. Authorized practice personnel may access patient information through their normal practice-system permissions.
We do not sell user data. We do not use or transfer user data for advertising, behavioral profiling, creditworthiness, or lending purposes. We do not share user data except where necessary to provide or improve the Service, protect security and prevent abuse, comply with applicable law, or as part of a merger, acquisition, or sale of assets.
Data security and retention
We use reasonable administrative, technical, and organizational safeguards designed to protect information, including secure transmission. Complete patient records and visit histories remain in tab32 and are retained according to the applicable practice’s policies and legal obligations. Patient Assist retains only operator authorization, limited workflow-operation records, browser state, and sanitized diagnostics for as long as reasonably necessary to operate, secure, and support the Service or meet legal obligations. Operators can clear displayed workflow data and sign out from the extension.
Your choices and access
Operators can choose whether to initiate an active-page scan and can manually enter a search value instead. Operators may sign out of Patient Assist and can remove the extension at any time. Requests to access, correct, or delete information should be directed to the operator’s organization or the contact below; requests involving patient records may be subject to applicable healthcare, privacy, and record-retention requirements.
Changes to this policy
We may update this Privacy Policy to reflect changes to the Service or applicable requirements. We will post the updated policy with a revised effective date.
